How Do Folder Permissions Work?

Overview

Folders can have permissions for specific users. This means that any content within this folder:


  • sub/child folders
  • templates
  • workflows


... will be restricted, based on the permissions of the folder.

Creating new folders

When you create a new folder, you'll notice an "Assign To" section where you can unselect specific users that you do not want to give access to.

You'll also notice an "Assign new users to this folder automatically" switch:

If this switch is on, every new user added to the division will automatically have access to this folder. If the switch is off, they will not (but you can manually give them access later).

Modifying existing folders

From the Folders page, you'll see a group of avatars that show the current user(s) assigned to the folder.

You'll also see an ellipses icon on the right side. Clicking this will open a menu that has the Permissions option:

You can use the Permissions dialog to add/remove access for specific users. The "Assign new users to this folder automatically" switch can also be turned on or off.

Things to note

  1. Admins can access every folder (they cannot be removed from the Permissions dialog).
  2. Members can only manage permissions for folders they created themselves.
  3. Users can be still be assigned to workflows and tasks within a folder that they do not have permission for.
  4. When folders are copied, permissions are also copied.
